Board Positions Descriptions:

The President. The president shall be the chief executive officer of the corporation and shall have general supervision over the activities and operations of the corporation, subject, however, to the control of the board of directors. The president shall sign, execute, and acknowledge, in the name of the corporation, deeds, mortgages, bonds, contracts or other instruments, authorized by the board of directors, except in cases where the signing and execution thereof shall be expressly delegated by the board of directors, or by these bylaws, to some other officer or agent of the corporation; and, in general, shall perform all duties incident to the office of president, and such other duties as from time to time may be assigned by the board of directors or the chairman. The president shall not serve consecutive terms in office.

  • Serve as the primary contact for the chapter to US Lacrosse and should have general knowledge of US Lacrosse operations, programs and services
  • Provide timely, responsive assistance and two-way communication to all USL chapter members.
  • Communicate all US Lacrosse correspondence to the chapter board
  • Preside over all meetings and calls of the chapter.
  • Ensure the chapter is in compliance with US Lacrosse at all times (Annual Chapter Board Report, Chapter Agreement, Conflict of Interest forms and Participation Survey to US Lacrosse for compliance).
  • Delegate specific responsibilities to chapter board members to ensure activity
  • Can serve as a director in a specific area of programs and operations.

 

Vice President. The vice president shall perform the duties of the president in the absence of the president and such other duties as may from time to time be assigned to him or her by the board of directors or the president.

  • Have general knowledge of US Lacrosse operations, programs and services

  • Preside over all meetings and calls of the chapter when the President cannot be present.
  • Take over the responsibilities of the president when necessary
  • Ensure the chapter is in compliance with US Lacrosse at all times (Annual Chapter Board Report, Chapter Agreement, Conflict of Interest forms and Participation Survey to US Lacrosse for compliance).
  • Assist in delegating specific responsibilities to chapter board members to ensure activity
  • Can serve as a director in a specific area of programs and operations

 
Secretary. The secretary shall record all the votes of the directors and the minutes of the meetings of the board of directors and of committees of the board in a book or books to be kept for that purpose; shall see that notices are given and records and reports properly kept and filed by the corporation as required by law; shall be the custodian of the seal of the corporation and see that it is affixed to all documents to be executed on behalf of the corporation under its seal; and, in general, shall perform all duties incident to the office of secretary, and such other duties as may from time to time be assigned by the board of directors, the chairman or the president.

  • Draft agenda for meetings and calls based on chapter activities
  • Inform USL when any chapter board changes occur
  • Coordinate meetings and calls alongside the president.
  • Take minutes of all meetings and calls.  Send to website coordinator to post on the chapter website in a timely manner
  • Assist President and VP to complete Annual Chapter Board Report, Chapter Agreement, Conflict of Interest forms and Participation Survey due to USL for compliance
  • Keep updated list of chapter board members with contact information.
  • Keep a record of the chapter bylaws.
  • Can serve as a director in a specific area of programs and operations

  
Treasurer. The treasurer shall have or provide for the custody of the funds or other property of the corporation; shall collect and receive or provide for the collection and receipt of moneys earned by or in any manner due to or received by the corporation; shall deposit all funds in his or her custody as treasurer in such banks or other places of deposit as the board of directors may from time to time designate; shall, whenever so required by the board of directors, render an account showing all transactions as treasurer, and the financial condition of the corporation; and, in general, shall discharge such other duties as may from time to time be assigned by the board of directors or the president.

  • Direct the IRS Specialist
  • Should not serve as director in a specific area of programs and operations.
  • Must be prepared to produce financial statements, including an income statement and a balance sheet, in a format that accurately reflects the operations of their chapter and which is in agreement with the format provided by US Lacrosse.  These documents are due after January 1 every year.
  • Reconcile the bank or bank accounts of the chapter on a monthly basis.
  • Prepare the tax returns, both federal and, as required, local tax returns on an annual basis.
  • Provide required information on the operations of the chapter to USL on an annual basis.
  • Abide by all US Lacrosse and non-profit regulations for book keeping, filing and financial procedures as stated in the US Lacrosse Chapter Operations Manual

 
Past – President/ At Large Member

  • Serves as a voting member of the Executive Board of Directors for two years after term of President has expired.
  • Advises the Board of past decisions and history of the organization.
  • Helps to shape policy for the organization from the experience, knowledge and insight gained as President.
  • Have general knowledge of US Lacrosse operations, programs and services.
  • Preside over all meetings and calls of the chapter when the President and Vice-President cannot be present.
  • Can serve as a director in a specific area of programs and operations.
  • If Past-President chooses not to serve on the Executive Board, this position will be filled by an election and referred to as a Member at-Large.

 

Girls High School Director

  • Provide USL with ideas for further member benefits to girl’s high school teams
  • Coordinate with all ILA conferences to ensure uniformity in play.
  • In coordination with the Secretary, maintain records of ILA and US Lacrosse memberships for all Girl’s high school programs.
  • Disseminate all pertinent information from the ILA to all Girls’ High School Programs.
  • Coordinate with Diversity Representative (New Programs Director) to assist in the establishment of new Girls’ High School Programs.
  • Coordinate with Events Director to facilitate the planning and seeding of the Girls’ High School State Championship
  • Coordinate with Awards Director, All-Academic Chairperson to aid in the selection and awarding of All-State, All-American, Academic All-American, Player of the Year, Girls’ HS Coach of the Year and other awards that may arise.

Boys High School Director

  • Provide USL with ideas for further member benefits to boy’s high school teams
  • Coordinate with all ILA conferences to ensure uniformity in play.
  • In coordination with the Secretary, maintain records of ILA and US Lacrosse memberships for all Boys’ high school programs.
  • Disseminate all pertinent information from the ILA to all Boys’ High School Programs.
  • Coordinate with Diversity Representative (New Programs Director) to assist in the establishment of new Boys’ High School Programs.
  • Coordinate with Events Director to facilitate the planning and seeding of the Boys’ High School State Championship
  • Coordinate with Awards Director, All-Academic Chairperson to aid in the selection and awarding of All-State, All-American, Academic All-American, Player of the Year, Boys’ HS Coach of the Year, Person of the Year and other awards that may arise.

 Youth Director

  • Provide USL with any ideas for further member benefits for boy’s and girl’s youth teams.
  • Communicate pertinent information to boys and girls youth teams and coaches.
  • Work with Secretary regarding membership
    • Provide USL membership information to all Directors for area events
    • Develop USL membership retention efforts at all constituency levels
    • Collect data regarding all ILA membership.

 Coaches Education/Sportsmanship Director

  • Serve as the primary contact to USL Coaches Training and Education staff.
  • Serve as primary clinic coordinator who works with USL on behalf of the host chapter
  • Work with USL to complete all necessary clinic hosting materials.
  • Proactively seek out clinic and training opportunities through USL for coaches.
  • Report on clinic numbers, budget and overall turnout to the chapter board.
  • Confirm and keep track of all Idaho coaches US Lacrosse membership numbers and certification.
  • Coordinate with the Events Director regarding the High School State Championship Tournament.
  • Coordinate with Awards Director, All-Academic Chairperson to aid in the selection and awarding of All-State, All-American, Academic All-American, Player of the Year, Boys’ HS Coach of the Year, Person of the Year and other awards that may arise.
    • Inform, educate and provide answers to questions the chapter board may have about the All-American processes.
    • Per USL,  a separate committee made of high school coaches and officials handles the selection processes.
    • Where applicable the chair should also solicit the chapter for volunteer assistance and communication to eligible chapter members.
  • Clinics and Webinars, Sportsmanship Card Program and Youth Rules Development.
  • Coordinate with Youth League Director to identify an annual National Youth Awards Candidate. This coordinator can nominate a National Youth Award Candidate on his/her own.
  • Support and spread US Lacrosse Men’s and Women’s Division Safety Campaigns and Initiatives.
  • Be the main Board contact for in-game complaints.  Develop “Culture Keeper” program around the state.
  • This position can be divided into two different board members when the board of directors deem it necessary.

 Girl’s Officials Director

  • serve as a contact for USL Officials and Umpires efforts on behalf of the chapter to recruit, train, and retain high-quality lacrosse officials. 
  • Be actively involved in the Local Umpire Board within the chapter’s boundaries.
  • Disseminate all pertinent information from the ILA to Local Umpiring Board
  • Proactively seek out clinic and training opportunities on behalf of the chapter.
  • Report on collaboration and training efforts to the chapter board
  • Provide USL with feedback about training and education evolvement in the chapter’s jurisdiction.

 Boy’s Officials Director

  • serve as a contact for USL Officials and Umpires efforts on behalf of the chapter to recruit, train, and retain high-quality lacrosse officials. 
  • Be actively involved in the Local Officials Association within the chapter’s boundaries.
  • Disseminate all pertinent information from the ILA to Local Officials Association
  • Proactively seek out clinic and training opportunities on behalf of the chapter.
  • Report on collaboration and training efforts to the chapter board
  • Provide USL with feedback about training and education evolvement in the chapter’s jurisdiction.

New Programs Director

  • Ensure Diversity is an overarching initiative of the chapter. Connect the dots to enhance Diversity opportunities.
  • Serve as primary contact for chapter initiatives including USL BRIDGE and Emerging Groups Programs.
  • Serve as a leader to create relationships with local YMCA’s, Parks & Recs and school programs and boards.
  • Serve as a conduit between the chapter and any inner-city and/or underprivileged areas with lacrosse or the desire to start a lacrosse program.
  • Create diversity program ideas and present them to chapter board.
  • Provide USL with diversity development updates when applicable.
  • Assist ILA in helping new Idaho teams with information, education and contact information.
  • Serve as primary contact for any chapter initiatives include the USL BRIDGE and Emerging Groups Programs.
  • Work with chapter youth league director to help create diversity initiatives locally at the youth level.
  • Create initiative and program ideas and present them to chapter board.

Events and Awards Director

  • Coordinate all chapter special events with appointed committee members (Events Director appoints all committee members).
  • Follow, to the best of the abilities of the chapter, USL insurance and risk management.
  • Coordinate clinics with local collegiate and post-collegiate players for youth and high school players.
  • Serve as chapter primary contact for US National Team Exhibitions & Clinics.
  • Work with National Tournament chair to coordinate try-outs (depends on the chapter).
  • Contact USL with all leading event details at least 2 months prior to upcoming events.
  • Provide the chapter board with reports on budget #’s, attendance, event successes and failures.
  • Provide USL with recommendations on how national can better support chapter events.
  • Oversee and serve as the board representative for the State Championship Planning Committee
    • Offer direction to the chair of the Boy’s High School State Tournament Committee for the Boy’s  and the Girl’s High School State Tournament
    • Establish a Committee to help develop criteria for site requirements, volunteers, personnel awards and all aspects needed to run a quality event.
    • Make recommendations to the Executive and General Board for approval.
  • Provide support for the chapter to nominate a candidate for National Youth Awards through USL.
  • Oversee state-wide and national awards nominations/selections
  • Coordinate with All-American Chairperson, All-Academic Chairperson, Boy’s HS and Girls’ HS Directors and Coaches Director to facilitate the selection and awarding of post season awards.
  • Coordinate with Events Director regarding awards for State Championship Tournament.
  • Work with chapter board to provide a nomination process for Hall of Fame Inductees and other awards.
  • Provide the chapter board with reports on budget numbers, attendance, event successes and failures and input on how to improve events for following year.
  • Provide USL with recommendations on how national can better support chapter events.
  • This position can be divided into two different board members when the board of directors deems it necessary.

​Fundraising/Grants Program Director

  • Assist USL in providing grant materials and letters of recommendation to members who wish to apply for an Equipment Grant through USL Manager of Programs & Grants.
  • Help support local entities who applied for a USL Equipment Grant but were not granted an equipment package.
  • Administer a local grant program through the chapter that provides funding or equipment to programs in need.
  • This position must also provide a complete recap of grant related activities to the chapter board including operation, budget details, applicants and awards.
  • Work with the Website Coordinator to ensure chapter grant program is posted on the chapter website when funds are available.
  • Lobby and send proposals to the chapter board to approve grant monies as part of the overall budget.
  • Coordinate and disseminate information about local camp and clinic scholarships available.
  • Work with the Communications and Marketing Director to investigate opportunities for scholarship money from local sponsorships.
  • Serve as chapter liaison to USL’s Financial Development Department.
  • Provide proposals for the chapter board to vote on supporting Team USA donations and/or annual chapter gifts to First Sport Society.
  • Develop and implement fundraising initiatives for the chapter
  • Work with the chapter Special Events Director to coordinate fundraising efforts with chapter events.
  • Provide chapter board with fundraising totals and planned drives
  • Work with chapter exec board to establish annual fundraising goals.
  • This position can be divided into two different board members when the board of directors deems it necessary.

Communication/Website and Marketing Director

  • Coordinate with USL Chapter Relations Department for chapter marketing giveaway needs
  • Provide USL chapter branding, booth or table set-up at local high school, professional and/or league tournaments.
  • Provide USL with projected annual marketing item needs via the Annual Chapter Board Report in September.
  • Provide USL membership information at area events.
  • Develop local sponsor and media relations for chapter events, programs and initiatives.  Coordinate with USL Chapter Relations Department for chapter marketing giveaway needs.
  • Serve as the primary contact for chapter web content related updates, inquiries & changes.
    • Responsible for keeping and all local information up to date and informing the membership of upcoming lacrosse events.
    • Responsible for posting all USL Chapter information on the website.
  • Assist chapter with blast emails and electronic correspondence when applicable.
  • Provide the chapter board with reports on website traffic.
  • Work with USL to provide national content on chapter site.
  • Coordinate with USL for chapter marketing giveaway needs.
  • Coordinate chapter booth or table set-ups at local high school, collegiate, post-collegiate, professional, and league tournaments.
  • Create relationships with local college, post-collegiate and professional teams.
  • Provide USL membership information at area events for recruitment and retention efforts.
  • Develop membership retention efforts at all constituency levels.
  • Develop local sponsorships and media relations for chapter hosted events, programs & initiatives.

Travel Teams Coordinator

  • Serve as USL’s frontline contact for each participating chapter team(s) i.e.: USL Youth Festival Teams.
  • The chapter can have one contact for all teams or multiple coordinators to help with coordination and support of all teams.
  • Work with USL staff to provide all the appropriate payments and paperwork in a timely manner.
  • This position must also provide a complete recap of the event to the chapter board including overall experience, operation and budget details.

Region Directors

  • There will be three region directors one from North Idaho (IHSAA districts 1 &2), South (IHSAA district 3) and East (IHSAA districts 4-6)
  • They will be responsible for reporting activity and needs to the ILA

 

Board Liaison Positions.  The purpose of these liaison positions is to assist the ILA Board of Directors.  These positions are non-voting positions.

IRS Specialist

  • Assist the chapter treasurer in filing any documentation other than the simple e-postcard/990-N.
  • Any requirement of a chapter treasurer to file a 990 or more will require the guidance of a professional if the treasurer if not a tax specialist or certified CPA (pro bono).

Legal Counsel

  • Should work (pro bono) to assist a chapter with any legal issues.  In the event there is a league related issue for those chapters that operate leagues, the board should confer as to whether or not their legal advisor or potential mediator should be a non-partisan third party, and non-board member.
  • A chapter should not feel obligated to pursue any legal threats or defense without consulting US Lacrosse and a non-profit law expert.

Women’s Division all-American and academic all-American Chairs

  • In addition to the chair’s role in the AA and AAA processes, the chair should serve as a liaison to the chapter board. If this individual serves on the chapter board already then their liaison duties to the chapter board can be conducted at regular chapter board meetings.
  • Per USL, a separate committee made of high school girl’s coaches handles the processes most of the time. If this is the case, then the duties listed above should be done via email, phone or in person with the chapter.
  • Where applicable the chair can also solicit the chapter for volunteer assistance and communication to eligible chapter members.

Women’s Division National Tournament Sub Regional Selection Chair

  • In addition to the chair’s role for their local National Tournament selection process, the chair should serve as a liaison to the chapter board. Their role is to inform, educate and provide answers to questions about the process. If this individual serves on the chapter board already then their liaison duties to the chapter board can be conducted at regular chapter board meetings.
  • Per USL, a separate committee most of the time handles the processes for National Tournament selection. If this is the case, then the duties listed above can be done via email, phone or in person with the chapter.
  • The chair can also solicit the chapter for volunteer assistance with try-out processes and communication to eligible chapter members.

Men’s Division all-American and academic all-American Chairmen
